Most Recent WCAG Tax Filing for 2021
It is the intent of the WCAG to protect the privacy and personal information of each member.
To that end, it is our objective to send official group emails to distribution lists via “Blind Copy” so that personal email ids are not visible to others. We intend to post on our web site, in our newsletters, on our Facebook page, and other media releases only information and art that has been provided by our members, themselves, specifically for each respective purpose.
Personal data we collect about members
We only collect the specific information voluntarily supplied by members, themselves, to complete the membership application form (see HOME Page) for the purpose of communicating with them about art-related topics consistent with the mission statement of the WCAG. This data includes name, address, phone number(s), email address(es), practicing art media, (optional) samples of art work, personal web site link (optional), and (optional) permission to publically introduce new members to the WCAG via our communications channels.
What we do with the personal data we collect about members
Information we collect from membership applications is stored in an electronic Membership Spreadsheet (Excel) maintained by the WCAG Membership Chair and is only accessible by the Executive Board and Exhibit Coordinators (to determine eligibility to participate in member-only activities and to communicate with members participating or seeking to participate). Email addresses from the Membership Spreadsheet are also included in an electronic (WORD) master “WCAG email Distribution List” maintained by the Webmaster, with access limited to Board Members and Exhibit Coordinators for the intended purpose of out-bound communications to the membership and other interested parties (via “Blind Copy”). In addition, Exhibit Coordinators separately collect email and phone contact information directly from participating art exhibitors (at their option to participate) for one-time use in coordinating the activities of each exhibit.
How we protect members’ personal data
Computers on which the WCAG Membership Spreadsheet, email distribution lists, and exhibit contact information are stored/used are expected to have standard home computer firewall and virus protection. The Master WCAG email Distribution List is stored on DropBox (subject to that company’s commercial protection protocol), with file access limited to current WCAG Board Members and Exhibit Coordinators.

WCAG "Standing Rules" Modifications (since January 1, 2020)
In general, ‘Standing Rules’ of the WCAG, in addition to those already clearly stated in the By-Laws available on this web site, are included in the procedures and guidelines provided on respective topics throughout this web site and/or documented in prior minutes of official WCAG Meetings.
For simplicity and future reference, the following list of WCAG Standing Rules Modifications (established by formal votes at official meetings since January 1, 2020) are listed below and supersede any prior rules or guidelines regarding the topics to which they apply.
1. WCAG “Standing Rule” regarding Events/Exhibits/Calls for Art:
Williamson County Art Guild (WCAG) passes on information for calls for art, education, competitions and exhibits as a member service. The WCAG does not endorse these businesses or services, nor make any claims about the accuracy, suitability, or completeness of information. Various venues for exhibitions require artists to sign a disclosure and waiver of liability form. WCAG advises members to understand all terms and conditions, and make their own decision in dealing with any of the businesses or services listed. WCAG cannot be responsible for any consequences resulting from the member’s decisions or actions.
